Managing facilities across 80 sites is complex, costly, and data-heavy. Cadent Gas partnered with Barkers to simplify operations, modernise processes, and deliver measurable savings.

Cadent Gas, a large UK utilities organisation, manages a diverse property estate of 80 sites. The client wanted to review its facilities management services and required a total facilities management (TFM) strategy along with support for a competitive bidding process. Barkers was appointed to work alongside Cadent Gas’ property team, providing expert guidance and delivering a comprehensive TFM solution.

Cadent Gas required a TFM strategy and support across three key areas. First, their procurement team needed independent category expertise to assess and improve service delivery—project work that occurs only every seven to eight years. They sought consultants with deep, regular experience in this field.

Second, Cadent Gas needed tender support, including insights into market best practice and a roadmap for enhancing supplier performance.

Finally, the client faced limitations in data management. Services and assets were tracked in just two offline spreadsheets, restricting asset management and lifecycle planning. Cadent Gas wanted access to automated, live data and a high-quality CAFM (computer-aided facilities management) system to support digital transformation.

Barkers partnered closely with Cadent Gas’ property team to deliver end-to-end TFM procurement support. The team enhanced engineering capabilities for capital planning through guidance and coaching informed by Barkers’ market expertise, industry benchmarks, and technology insights.

The bidding process began with 22 potential providers in a soft market engagement, narrowing to four finalists who submitted RFPs and demonstrated technology solutions. Evaluation focused on technical ability, service quality, and sustainability, with 10% of the score allocated to sustainability.

The selected TFM provider offered a data-led approach, covering all services and implementing a single source of truth across sites. They also demonstrated proven experience in community engagement and environmental initiatives.

Once appointed, Barkers oversaw contract finalisation, service specifications, and onboarding, continuing to manage the client–provider relationship to ensure successful implementation.

The project delivered significant benefits for Cadent Gas across cost, data management, and operational efficiency. Key outcomes included:

  • Annual savings of approximately £1.2 million, a 20% reduction against the project’s fixed costs.
  • Mitigation of inflationary labour costs.
  • Implementation of a best-in-class CAFM and data system, creating a single source of truth across all 80 Cadent sites.

Barkers successfully developed and executed a TFM strategy, improved service provision, and enabled a digital transformation that positions Cadent Gas for long-term operational efficiency.
