As Haventus prepared to deliver one of the UK’s most ambitious offshore wind infrastructure projects, it became clear that traditional approaches to spend management would not be sufficient. To meet investor expectations and maintain momentum, a scalable, intelligent solution was essential.

Haventus are an energy transition facilities provider developing a port infrastructure for offshore wind generation production at Ardersier, Scotland. Scheduled to open in 2025, this world-leading hub will provide Scotland’s largest facility on the North Sea coast for deploying and servicing offshore wind installations.

The scale of infrastructure and construction required is substantial with millions of pounds of investment required to maintain an ambitious build schedule. Haventus required support to develop a class leading spend management system that would cope with the demands of a complex project, while integrating seamlessly with their existing ERP. Accessibility, robust spend governance and the ability to deliver within a demanding timeframe were all critical requirements.

The scale of the project at Ardersier is vast. Haventus needed to revolutionise their spend management and leverage technology to enable them to successfully manage and govern the spend required. Whilst much of the spend was centrally governed within tendered processes, Haventus also required the flexibility to make quick-fire operational spend decisions that would allow them to respond to unforeseen circumstances that are commonplace within a complex construction environment. It was necessary therefore for the spend management tool to meet this flexibility of need. It was also crucial that the technology be fully accessible and intuitive for all end users.

Haventus recognised that they not only required a high quality spend management tool, but that implementation was key to adoption and to maximising the benefits that the spend management solution would provide. Barkers and Coupa Software jointly bid for the contract and were awarded.

Barkers and Coupa recommended the integration of a class-leading spend management system with Haventus’ existing ERP system. The Coupa Procure to Pay software was implemented which delivers AI-driven finance and procurement, facilitating complete visibility across the full procure-to-pay processes. Ordering and invoice approval processes were revolutionised through the Procure to Pay software, with the benefit of maximising working capital and compliance; ensuring full spend compliance is especially important when attracting investment, a key factor for an infrastructure project of this magnitude. Crucially too the software selected afforded Haventus the opportunity to analyse spend through AI driven technology, facilitating peer comparison and allowing Haventus to leverage supplier quotations based on robust insight.

A key requirement of the original tender was that tight timescales would need to be met throughout this project. The Procure to Pay software was an obvious choice due to its one platform user interface that facilitates user adoption. In addition, the software needed to be implemented quickly and effectively. Barkers’ credentials as award-winning implementation partners, coupled with an extensive knowledge of both the infrastructure and utility sectors, ensured that Barkers were able to work at pace backed with secure industry knowledge that would enable them to work pragmatically and efficiently throughout.

To ensure there was no slippage in project delivery, Barkers created a comprehensive project plan which was managed by experienced Solution Architects. The team collaborated extensively with team members from across the client setting, with Haventus ‘Coupa Champions’ identified and engaged with on a regular basis to support the transition across the organisation. Weekly project updates allowed for the project plan to be flexed to meet changing requirements without compromising the final delivery deadline or quality of implementation.

Barkers have completed training with the Haventus team to ensure user adoption of the software is high and is maintained post implementation.

The successful implementation of Coupa Procure to Pay has enabled Haventus to establish a strong foundation for spend governance, operational agility and user adoption, all delivered within an exceptionally tight timeframe.

  • The Haventus project was completed in just an eight-week window with Barkers’ allocating a full week on site with the Haventus team.
  • During this time, the Procure to Pay software was successfully installed and aligned with Haventus’ existing ERP system.
  • UAT Training and Admin Training was also completed in this timeframe, allowing Haventus to maintain the Procure to Pay system independently.
